Drivers can create waybills themselves
If it is not a digitized origin, meaning that the scales are not integrated with Waybiller and for example the loader operators are not creating the waybills, then the drivers have to create the waybills themselves.
Steps for creating a waybill:
1. Log in to Waybiller with your username

2. Select the role of the company you are working for
- The role selection is available only if the driver is added as a subcontractor under another company
3. Select the vehicle you are driving with
- The selected vehicle remains selected by default
- The driver's personal identification number is mandatory on the waybill. If it has not yet been added to Waybiller, a pop-up window with a warning will appear after the vehicle has been selected. The ID nr can be added from under the driver's profile.
4. Dashboard view opens, click on the "Create new waybill" button to create a waybill

5. Select an origin
- You can search for the origin by entering the customer name/origin in the "Search" field.
- By clicking on the star icon, you can set the origin as favourite, so that next time when selecting an origin it will be displayed first.
- Drivers can also create new origins, but only if it is allowed (depends on the company and user settings, it is configurable by a Manager role when creating/editing a user)
6. Select a destination
- You can search for the destination by entering the customer name/destination in the "Search" field.
- By clicking on the star icon, you can set the destination as favourite, so that next time when selecting a destination it will be displayed first.
- Drivers can also create new destinations, but only if it is allowed (depends on the company and user settings, it is configurable by a Manager role when creating/editing a user)
7. Select the correct assortment and enter the amount, click on the "Forward" button to proceed
- All the assortments of the selected origin will be displayed
- If the correct assortment is not displayed, either the owner of the origin or Waybiller Customer Support should be contacted to add the missing assortment
- If the amount entered exceeds the permitted weight of the truck, warnings are displayed - a yellow warning is displayed if the overweight is up to 5% and a red warning if the overweight is more than 5% (the warning does not restrict creating a waybill)
- NOTE: When transporting wood chips, then from this view a cadaster number can also be inserted. When added, the format, the number and the key habitat (VEP) are checked (Estonian Forestry Register).
8. A confirmation screen where you can check the data will open. If everything is correct, click on the "Start driving" button.
- An e-waybill with a status "IN PROGRESS" is created.
9. Dashboard view with the newly created active waybill opens
- The e-waybill number, date and time it was created, the origin and destination and the status "IN PROGRESS" are displayed.
10. Drive to the destination to unload the truck
11. At the destination open Waybiller, open the waybill and click on the "Finish driving" button.
- If necessary, you can also add a comment/picture, the comment will be displayed in the confirmation view of the driver and on the e-waybill
12. Enter the mileage and click on the "Forward" button.
- The mileage entered can be saved for the same route for the next time by ticking the checkbox below the mileage field
- E-waybill will move from status "IN PROGRESS" to "AT DESTINATION"
- E-waybill will now be sent to the receiver by email (if configured)
13. Dashboard view opens and the driver can start a new waybill
If the driver is allowed to accept the waybill, a waybill confirmation view will open instead.
- The e-waybill number, date and time of creation, destination information, assortment and previously entered amount are displayed
- You can also view the route on the map by clicking "See on a map" (if GPS positioning was enabled beforehand)
- The e-waybill can be opened/downloaded in a PDF format using the "PDF" button
- If the driver added a comment/picture, it will be visible at the bottom of the page along with the date and time of adding it, the driver can also add a new comment/picture
There are several ways to confirm an e-waybill:
- If the receiver is using Waybiller, the receiver can log in and confirm the waybill
- If the receiver is not using Waybiller, the driver can:
- take the signature of the receiver at the destination on the screen of a smart device and confirm the e-waybill
- confirm the waybill with the signature added under the drivers profile (driver can confirm the waybill if the right has been granted and there is no receiver to ask the signature from)

- It is also possible to use a functionality that automatically confirms the waybills after 24 hours.
After the waybill is confirmed, Waybiller automatically sends a PDF version of the waybill to the client's email address (if configured). The PDF version also has information about the confirmation and the signature of the approver.
After the confirmation all related parties will see the e-waybill in status "CONFIRMED".
