Adding and editing a vehicle

Vehicles are divided into two categories: active and inactive.

All your company vehicles must be added only under your company in Waybiller.

Adding a vehicle:

To add a vehicle, click on the "Add vehicle" button under the Vehicles menu item.

Fill in fields:

• Truck registration number (required)
• Trailer registration number (required if the vehicle has a trailer)

If more than one trailer is linked to the same vehicle, create multiple vehicles (same vehicle number, different trailer).

NOTE: Make sure you enter the vehicle and trailer numbers correctly and without spaces. If after entering the vehicle and refreshing the page, the mass is not displayed, check the number entered.

NOTE: Only enter vehicles that belong to your company from 
your company account!

• Country

If no country is selected, the default country is Estonia (you can change the default country in the company settings).

• Average fuel consumption (optional)
• Maximum capacity

Vehicles can be assigned a maximum capacity in m3.

• Allowed Gross weight / Curb weight / Number of axles

This data is automatically taken from the Transport Administration database, manual changes to the fields are not allowed to ensure accuracy.

• Sending waybills to email addresses

You can request a waybill to be sent to an email address if:

• • A waybill is created for the vehicle.
  • The waybill created for the vehicle has reached its destination.
  • The waybill created for the vehicle is confirmed at the destination.

To add multiple email addresses, use a comma and do not use space.

Example: "waybiller@waybiller.com,waybiller@waybiller.com".

• Checkbox: Inactive

If you've made a mistake while entering the vehicle or the vehicle is no longer active, tick the Inactive checkbox.

NOTE: If there are any pending transport orders/waybills for a given vehicle, 
a warning will be displayed and the pending transport orders/waybills can 
be modified or completed. For further questions support@waybiller.com.

NOTE: If the vehicle cannot be added, or if a warning is displayed that 
the vehicle is registered under another company, please contact us:
support@waybiller.com. 

Editing the data of a vehicle

To edit a vehicle, click on the "Edit" button under the Vehicles menu item behind the vehicle you want to edit. 

You can edit:

• Truck and trailer registration number
• Country
• Average fuel consumption
• Max capacity
• Notification E-mail addresses 
• Status of the vehicle (active/inactive)
