In the Stocks menu, you can create stocks to manage inventory at the origin and/or destination.
NB! It is possible to configure FIFO stock. To activate this functionality, please contact us.
Creating
A stock can be added in the Stocks menu by clicking the “Create stock” button.
It is possible to set up parent stock and sub-stocks. The parent stock view displays the combined stock balance of all its sub-stocks.
To create a parent stock:
1. Open the “Stocks” menu and click “Create stock”.
2. Fill in the following fields:
- Name – enter the name of the warehouse (start with a capital letter; the name can be freely defined).

Contents owner – if the goods in the stock belong to your company, select your company name. If the goods belong to another company, select that company as the owner. This gives the goods owner the right to view their stock and stock entries in Waybiller.
- NB! The stock owner can view stock levels and warehouse transactions, create transport orders, and has the right to edit, inventory, and deactivate the stock. The contents owner can view stock levels and transactions and can create transport orders.
3. Click “Create stock” to save.
Sub-stock:
1. Click “Create stock”.
2. Fill in the following fields:
- Name (required) - Name can be added in a free form. Start with a capital letter

Parent stock - You can create a hierarchy by selecting the parent stock and creating a substock. If the parent stock has a substock, an arrow icon
will appear next to the name and all substocks will be visible under the parent stock.

Contents owner - If your company's contents are in the stock, please add your company name here. If your stock contains contents from another company, enter the owner of contents name here. This will give the contents owner the right to view their stock and stock entries in Waybiller.
- NB! The stock owner can view stock levels and warehouse transactions, create transport orders, and has the right to edit, inventory, and deactivate the stock. The contents owner can view stock levels and transactions and can create transport orders.
- Origin - Origins are the contents owner's origins. Origin must be assigned to the stock if there are outward movements (outgoing amounts) from the stock. If an origin is assigned to a stock, adding the stock to the transport order/waybill is mandatory.

Destination - In order for the stock to have inward movements (incoming amounts), a destination must be set for the stock. Destinations are the contents owner's destinations. If a destination is assigned to a stock, adding the stock to the transport order/waybill is mandatory.
NB! If you assign only an origin or only a destination to a stock, you can track only the total volume of waybills moving in one direction.
- Assortment - Assigning an assortment (assortments) to a stock restricts the entries/withdrawals of other assortments to/from that stock. One stock can contain multiple assortments.
- Maximum capacity (m3) - You can set a maximum capacity for the warehouse and monitor the stock level accordingly. The available balance of the stock is displayed on the waybill when assigning the stock and in the list of stocks. The stock capacity must be specified in cubic metres. Formulas - A formula can be selected for a stock. Formulas are used when the amount to be added to a stock needs to be calculated on the basis of certain data (e.g. when drying grain, the moisture and trash contents are deducted according to the results of analyses). When a formula is added to a stock, a corresponding icon
is displayed in the stocks view.

Checkboxes:
- Automatically select this stock based on assortments - select if you want the stock to be automatically assigned on a waybill, which has the selected assortment.
- Active (selected by default)
- Drivers can select this stock
- Transport companies will be able to use stock on transport orders
3. Click “Create stock” to save.
After saving, all sub-stocks linked to the selected parent stock will be displayed under it, together with their stock balances.
By using the button "Create transport order" you can add a transport order directly from the stock.
Filters
It is possible to search for a specific stock using the search boxes.
Under "More Filters" you will find additional fields:
Multiple assortments can be added to the assortment filter at the same time.
NOTE: The summary of the assortments and amounts currently in stocks are displayed below the list of stocks in the Stocks menu.
Editing
To edit a stock, click the "Edit" button next to the stock in the Stocks menu.
The same view as when adding a stock will open and you can make the necessary changes.
Deactivate
To deactivate a stock, click the "Deactivate" button next to the stock in the Stocks menu.
If a stock is set to inactive, it can no longer be used on transport orders and waybills.
Inactive stocks are visible in the Inactive column of the Stocks menu. To reactivate a stock, click on the "Activate" button.
